Dear DATE community,

We, the DATE Sponsors Committee (DSC) and the DATE Executive Committee (DEC), are deeply shocked and saddened by the tragedy currently unfolding in Ukraine, and we would like to express our full solidarity with all the people and families affected by the war.

Our thoughts also go out to everyone in Ukraine and Russia, whether they are directly or indirectly affected by the events, and we extend our deep sympathy.

We condemn Russia’s military action in Ukraine, which violates international law. And we call on the different governments to take immediate action to protect everyone in that country, particularly including its civilian population and people affiliated with its universities.

Now more than ever, our DATE community must promote our societal values (justice, freedom, respect, community, and responsibility) and confront this situation collectively and peacefully to end this nonsense war.

Guidelines for Tutorial and Workshop Organisers

Congratulations, your tutorial, or workshop has been accepted to take place at DATE 2022. We want to support you in attracting attendees for your event. Therefore, we need further information from you to be included in the DATE 2022 programme and to be displayed at the DATE 2022 website and the DATE 2022 virtual conference platform.

Please fill in your key persons, description, call for contribution, important dates, and final programme of your event at https://www.date-conference.com/tutorial/ or https://www.date-conference.com/workshop/. Select your event and add "/edit" to the URL of your event page in your browser's address bar (e.g. https://www.date-conference.com/tutorial/m01/edit).

You have to login to the DATE 2022 website with your username (=email) and password. If you don't know your password, you may reset it by yourself at https://www.date-conference.com/user/password with your registered email address (the one that is known by the tutorial or workshop chairs).

You must enter general information for your event and create sessions with title, abstract and moderator or chair names. Within sessions you can place presentations with title, abstract, start time and author and/or speaker names. We need your programme data in this structure. Please do not copy and paste your program from MS Word in the body or description fields. We need the structured data as described before. Otherwise, the programme at the DATE 2022 website and the DATE 2022 virtual platform are not correctly configured. This will result in minor visibility and advertising for your event.

IMPORTANT: The data of the persons involved in your programme have to be entered using the provided sub-forms. The email address is mandatory to be authenticated by the virtual platform!

Please do not forget to always press the "save" button at the end of each person, session, presentation, and event form. Otherwise, your entry is lost.

Always provide correct data, never use fake-data (e.g. your own mail address for other persons or nomailatemail [dot] com (nomail[at]email[dot]com), etc.). Such entries will be deleted! You will be able to reuse date inserted by others, but only be able to edit data that you have created yourself.

  • The DATE newsletter will be distributed beginning of December as the registration phase starts. Note that authors who get papers accepted in the main conference will need to register early December to have their paper published in the proceedings. Hence, there will be 300-400 registrations during December. Thus, it is vital that you provide your event description and preliminary programme by Wednesday, 1 December 2021 AoE (hard deadline) to attract all these attendees. The preliminary programme should contain as much information on the event programme as possible: sessions, keynotes, etc.
  • A summarized DATE Newsletter “Call for Submission” for all events is sent. Your information needs to be completed in the field “CALL ABSTRACT” by Sunday, 12 December 2021 AoE!
  • A summarized DATE Newsletter “Call for Participation” for all events is sent. Your information needs to be completed in the field “PARTICIPATION ABSTRACT” by Monday, 3 January 2022 AoE!
  • The final programme needs to be finished by Friday, 14 January 2022 AoE (hard deadline). All the information in your event's DATE web page will be extracted and inserted into the virtual conference platform. From this day on no changes will be possible anymore for the virtual conference platform. On this day the information on the web page must be FINAL.
  • Hand-out material (e.g. consisting of all slides and perhaps also background reading material) needs to be uploaded as a single PDF or ZIP file at the DATE website by Sunday, 20 February 2022 AoE. The hand-out material will be available to attendees only!
